Job Description

Manage day-to-day operations of Gaeg Company’s Ghana office, ensuring efficiency, accuracy, and excellent service delivery.
• Implement and maintain standard operating procedures (SOPs) for immigration, logistics, and sourcing services.
• Oversee case processing timelines, logistics tracking, and customer onboarding.
• Team Leadership
• Supervise and support staff including client relations officers, admin officers, and logistics coordinators.
• Conduct team briefings, performance reviews, and ongoing training to ensure top-tier service.
• Client & Partner Coordination
• Serve as escalation point for client concerns and provide high-level resolution.
• Build and maintain strong relationships with vendors, government agencies, shipping partners, and other stakeholders.
• Generate weekly and monthly operational reports for senior management in the UK.
• Monitor KPIs, customer satisfaction metrics, and service timelines.
• Compliance & Quality Assurance
• Ensure the Ghana operations meet legal, regulatory, and internal compliance requirements.
• Regularly assess risks and implement mitigation measures.

Requirements

• Bachelor’s degree in Business Administration, Operations Management, Logistics, or related field. A Master’s degree is an advantage.
• progressive experience in operations management, preferably in immigration, shipping/logistics, or client-facing services.
• Strong leadership skills with a proven ability to manage teams and meet targets.
• Excellent organizational, communication, and problem-solving skills.
• Proficient in Microsoft Office and basic project management or CRM tools.

Job Description

• Serve as the first point of contact for inquiries across immigration, shipping, and sourcing.
• Manage client onboarding, follow?ups, escalation of issues, and coordinate with internal teams to deliver seamless, tailored solutions.
• Track client cases, advise on timelines and requirements, and ensure documentation is complete and compliant.
• Maintain regular communication (calls, emails, meetings) with clients and internal stakeholders.
• Provide weekly/monthly reports on client status, service metrics, and feedback trends to the Operations Manager.

Requirements

• Education: Bachelor’s degree in Business Administration, Communications, Hospitality, or

• Experience in client service or account management, preferably in services such as immigration, freight, logistics, or international sourcing.
• Competencies:

• Technical Skills:

Job Description

* Manage reception duties incoming calls and emails with professional phone etiquette.
* Perform data entry and maintain accurate records in various databases, including preparing outgoing invoices and statement
* Must be capable of learning new specific computer systems running on Microsoft. Full training will be given.
* Organise and maintain filing systems, both electronic and paper-based.
* Booking incoming work and booking out completed work on the computerised system
* Support the team with clerical tasks such as scheduling appointments, managing calendars, and coordinating weekly meetings
* Ensure the office environment is well-organised and equipped with necessary supplies.
